Stop Paying People to Copy and Paste

Somewhere in your business, a person is reading a number off one screen and typing it into another. An order from the website goes into a spreadsheet. A lead from a form goes into the CRM. A supplier invoice that arrived on WhatsApp goes into the books. Nobody hired them to do that. It just became their job.

The work nobody chose

Copy-and-paste work grows quietly. One new app, one new form, one new report the boss wants on Mondays, and the hours pile up. It fails quietly too: a lead waits in an inbox for two days, an invoice gets typed with a zero missing, a failed payment goes unnoticed until the customer complains.

The people doing this work are usually your most careful staff. So the cost is double: hours spent, and your most careful attention spent on work a machine does better.

What I automate first

I start with the jobs that happen most often and break most quietly. In most businesses that means four:

  • New leads. A form, website chat or ad lead lands in your CRM within a minute, scored and assigned to someone.
  • Orders and invoices. Synced between your store, your books and your sheet, with nobody retyping them.
  • Documents. Supplier invoices and receipts read by AI from email, WhatsApp, Google Drive or a scanner: supplier, dates, line items, tax and totals.
  • Alerts and reports. Failed payments, bad reviews and urgent orders ping the right person on Telegram or email, and the Monday report arrives on its own.

How the AI part stays honest

AI reads messy documents well, and it still makes mistakes. So every extraction workflow I build checks its own work before anything posts. Totals that don't add up, duplicate invoice numbers and unknown suppliers wait for a person to approve them, with what the AI read shown next to the original PDF. After a few weeks you'll rarely need to correct it. The checks stay in place anyway.

Why n8n

I build most automations in n8n. You can host it yourself, you pay for a server instead of per task, and every workflow is a diagram your team can open and follow. If your business already runs on Make or Zapier, I can work there. Where a step needs code, n8n runs it inside the same workflow.

I use the same patterns in WeSelling, my own business software, where orders, stock and staff alerts move between systems with nobody retyping them, and in a Telegram notification service that sends each order or request to the right staff member the moment it arrives.

If a task happens every day and follows the same steps, a person shouldn't be doing it by hand.
