The Call You Missed Was a Customer
You were with a client. The phone rang, stopped, and when you checked later there was a number you didn't recognise and no voicemail. You'll never know what they wanted. Often it was a booking.
Voicemail is where calls end
Most people who reach voicemail hang up and call the next business on their list. After hours it's worse: someone calling at nine at night about a Saturday appointment books with whoever answers.
A full-time receptionist for every hour the phone might ring isn't realistic for a salon, a clinic or a two-person agency. So calls get missed, and nobody counts the cost, because missed calls never appear in a sales report.
What an AI receptionist does
- Answers every call in your business's name, in a natural voice, day or night.
- Knows your services, prices, hours, location and policies, and answers questions from them.
- Books the appointment straight into Google Calendar, Cal.com or your booking system, checking availability as it talks.
- Sends the caller an SMS or WhatsApp confirmation before they hang up.
- Sends you a summary and recording of every call on Telegram or email.
- Transfers the call to a person when it should: an emergency, an upset customer, or anything you haven't allowed it to handle.
What it won't do
It won't claim to be human if someone asks. It won't invent prices or promise anything you haven't approved: it answers from the information you give it and says when it doesn't know. And you decide when it picks up, whether that's every call, only after hours, or only when nobody answers within a few rings.
A booked call can still be a no-show
Answering is half the job. The other half is making sure the caller turns up, which means confirmations, reminders and sometimes a deposit. If you run GoHighLevel, I set up missed-call text-back, pipelines and reminders there: GoHighLevel Setup & Automation. If you'd rather own the whole flow, I build a booking system with deposits on your own site. More on that in No-Shows Are a Tax You Don't Have to Pay.
Built on work I've shipped
For Hair By Joan, a hair studio in Abuja, I built online booking with staff alerts, so each booking reaches the right stylist the moment it's made. A receptionist puts the phone into that same flow.
What it costs
The AI Voice Receptionist starts at $250 for a receptionist that answers questions, takes messages and sends you a summary of every call, live in four days. Live calendar booking, SMS confirmations, call transfer and CRM logging come with the $640 package. I build on Vapi or Retell with your existing number forwarded. Call minutes are paid to the voice platform directly, and I'll estimate them for your call volume before we start.
Tell me about your business and I'll tell you what I'd build first: start here or book a free call.
